Job Descriptions of
TxPFHA Officers and Chairpersons


President

  • Elected by the membership every two (2) years

  • Executive Officer of the Organization

  • Presides over all meetings, including meetings of the Board of Directors

  • Appoints a Parliamentarian and all Committee Chairpersons

  • Serve as a member of all committees, except the Nominating Committee


Vice-President

  • Elected by the membership every two (2) years

  • Works closely with the president and all Committee Chairpersons to aid in a smooth running organization

  • Perform the duties and functions of the President, during the President's absence or incapacity

  • Assumes the presidency, should the presidency be permanently vacated for any reason


Secretary

  • Elected by the membership every two (2) years

  • Records the minutes of all General and Board Meetings

  • Maintains accurate records of the membership

  • Maintains an official and current membership roster

  • Communicates with the Membership Chair about new members and membership renewals

  • Conducts the correspondence for the Organization as required

  • Provide the Parliamentarian with the current membership total prior to the beginning of all meetings

  • Responsible for conducting elections as defined in the Bylaws (Article IX Sec.2 B and C)


Treasurer

  • Elected by the membership every two (2) years

  • Collects all dues and assessments

  • Receives, deposits, and disburses all monies (except organizational funds needed by local show secretaries)

  • Maintains an accurate accounting of all financial transactions

  • Submits, at the annual meeting, a financial report of all receipts and disbursements of the Organization

  • Submits interim financial reports when requested by the President or the Board of Directors


Delegate

  • Elected by the membership every two (2) years

  • Has the right to vote at the Organization's board meetings

  • Represents the Organization and regional PFHA membership at PFHA Board of Director Meetings

  • Maintains a dialogue with the PFHA regional membership to ascertain their wishes

  • Reports to the membership on the business conducted at the PFHA Board of Director Meetings, including his/her votes at such meetings


Area Directors

  • Elected by the Regional Area membership every two (2) years

  • Has the right to vote at the Organization's board meetings

  • Represents the interest of the Regional Area at TxPFHA Board Meetings

  • May elect to hold Area Elections for Area Vice-Director, Area Secretary, and/or Area Treasurer

  • May appoint Regional Area Chairpersons as required to work with the Regional Chairs

  • Serve as a member of all Regional Area committees


Parliamentarian

  • Appointed by the President

  • Serves as the procedural advisor of the Organization

  • Attends all Executive Committee and Board Meetings, but not as a voting board member


Board of Directors

  • Includes the Executive Committee, Delegate, and Committee Chairpersons

  • Governing body of the Organization

  • Determines all matters of policy that arise between annual or regular meetings

  • Hears all charges against members

  • Disciplines members in accordance with the provisions set forth in the Bylaws

  • Prepares the budget

  • Approves disbursements

  • Counsels with all Committees


Newsletter Chairperson

  • Appointed by the President at his/her option

  • Editor of the monthly TxPFHA Newsletter

  • Interacts with other Officers and Chairs to solicit content for the newsletter

  • Interacts with the Publicity and Advertising Chair for Newsletter advertisements


Events Chairperson

  • Appointed by the President at his/her option

  • Maintains the Organization's Calendar of Events

  • Communicates new events to the Newsletter and Web Site Chairpersons

  • Responsible for identifying regionally sponsored events versus events of interest to the membership

  • Responsible for contacting other regional organizations to make them aware of the Organization's events, and make the Organization's membership aware of other organization's events

  • May appoint Area Event Coordinators to assist with these responsibilities


Trail Ride Chairperson

  • Appointed by the President at his/her option

  • Encourages Organization's membership to sponsor and participate in up to four TxPFHA sponsored trail rides each year

  • Gathers information on area trail rides of interest to the Organization's membership

  • May appoint Area Trail Ride Coordinators to assist with these responsibilities

  • Provides information on Trail Ride events to the Web Site Chair and the Newsletter Chair


Parade Chairperson

  • Appointed by the President at his/her option

  • Encourages Organization's membership to participate in as many area Parades as possible each year

  • Gathers information on area parades of interest to the Organization's membership

  • May appoint Area Parade Coordinators to assist with these responsibilities

  • Provides information on Parade events to the Web Site Chair and the Newsletter Chair


Youth Chairperson

  • Appointed by the President at his/her option

  • Identifies opportunities the Organization can sponsor or participate in that encourage youth to learn more about and enjoy equestrian activities.

  • Provides information on Youth events to the Web Site Chair and the Newsletter Chair


Publicity and Advertising Chairperson

  • Appointed by the President at his/her option

  • Maintains a list of farms and ranches, equestrian and other businesses, companies, and individuals who have taken out advertisements in the Newsletter or other TxPFHA sponsored events in the past

  • Solicits new sources for advertising for the newsletter and future TxPFHA sponsored events

  • Establishes the advertising rates and collects these fees for advertising for the TxPFHA newsletter

  • Works with TxPFHA sponsored event coordinators to provide sources for advertising and assists in the collection of advertising fees, if required


Show Chairperson

  • Appointed by the President at his/her option

  • Identifies opportunities for the Organization to participate in or sponsor Paso Fino Shows in our Region.

  • Encourages our membership to sponsor Fun Shows in our region, and provides advice and assistance as required

  • Provides information on Show events to the Web Site Chair and the Newsletter Chair


Membership Chairperson

  • Appointed by the President at his/her option

  • Identifies opportunities to increase our regional membership

  • Contacts new members to ensure they are aware of all services provided by the Organization

  • Sends new members a membership packet, which contains pertinent information about the Organization and it's membership

  • Sends each new member and individuals renewing their membership a TxPFHA membership card

  • May appoint Area Membership Coordinators to assist with these responsibilities

  • Provides information on new members to the Web Site Chair and the Newsletter Chair


Awards and Banquet Chairperson

  • Appointed by the President at his/her option

  • Organizes the annual Awards Banquet, and maintains a list of the awards for the Organizations membership throughout the year

  • Encourages the Organizations membership to sponsor social events, and assists in these events as required

  • May appoint Area Social Event Coordinators to assist with these responsibilities

  • Provides information on new Awards and Social events to the Web Site Chair and the Newsletter Chair


Web Site Chairperson

  • Appointed by the President at his/her option

  • Maintains the Organization's Web Site

  • Continually looks for ways to reduce costs for publishing the Web Site

  • Coordinates with the Organization's Officers and Chairperson's to acquire new content, and verify that existing content is up to date
